
THE SITUATION
A global production company operating across multiple locations with a distributed team had grown in complexity faster than its operational infrastructure could keep pace. Processes had multiplied without structure – the same work was being done in multiple places, in different ways, with no single source of truth.
There was no real-time reporting. The finance team and the board were making decisions from data that was always out of date, often incomplete, and held together by manual workarounds that depended entirely on the people running them.
The brief was to fix it.
WHAT I DID
Over two years, I designed and built a bespoke operational system in Airtable that brought the business’s core workflows into a single, connected infrastructure. This included HubSpot for CRM, Xero for finance, Zapier for automation across multiple databases, and integration with an external web development agency managing the company’s location library platform.
I managed delivery across internal stakeholders, third-party partners, and a leadership team whose requirements shifted materially as the project progressed – a common reality in infrastructure builds of this kind, and one that required consistent scope management and clear communication at every stage.
THE OUTCOME
